Job Summary The Minnesota Department of Transportation does not sponsor applicants for work visas or Optional Practical Training Extensions for STEM Students.
Individuals must be legally authorized to work in the US at the start of employment.
This position provides executive administrative support to the District Engineer, District Leadership Team, and district management; serves as an administrative liaison between departments, employees, legislature and public.
This position will have access to private data and will be expected to uphold confidentiality.
The position's responsibilities include but are not limited to:
maintaining calendars, scheduling meetings, preparing meeting agendas, taking and distributing meeting minutes, making travel arrangements, preparing and tracking special expenses and purchase requests; serving as a point of contact for internal and external customers; researching and responding to inquiries and providing information and resources to others; compiling reports and information; leading and completing special projects and district initiatives; and providing leadership and oversight for administrative activities and programs such as out-of-state travel, data and records retention, etc.
This position located at our district headquarters in Roseville, MN.
The incumbent will be able to telework, work in the office, or a hybrid of both.
If teleworking, the incumbent may be expected to work in the office on occasion based on business needs and will be required to complete a telework agreement.
Qualifications Minimum Qualifications Experience providing advanced administrative support to executive and/or senior leadership of an organization/division/office/district.
Experience coordinating travel activities, scheduling appointments, and/or processing business expenses.
Experience preparing business documents such as reports, memos, and processes.
Experience with technology and business software such as Microsoft Word, PowerPoint, Excel, Teams, Adobe Acrobat Professional, SharePoint, and video conferencing.
Preferred Qualifications Experience using online survey tools (e.
g.
, Survey Monkey, Mentimeter).
Experience providing administrative support in state or local government or other public sector organization.
Experience with data privacy laws governing confidential information.
